It has been mentioned in the original proposal that step 2 includes that the Primary Instructor's name would show up in the automated emails. Is something like that still possible? DaLe 20:36, 26 July 2007 (EDT)

Check the exec roster and the RSA roster. It is not a proposal anymore, but it is not fully active now. I need to fine-tune things a bit before I 'unleash' the PIs on the new members. The Primary Instructors are basically going to be the adminstrators and supervisors of the BP.
That would be awesome if the automated emails will generate the Primary Instructors name. This leads me to another issue we need to solve beforehand - we have three PIs now, with more to be eventually added, how are we going to deal with this? Putting the PIs on a list the system would circle through would be one solution. Another solution would be to have all PIs names and emails listed in the 1st automated email. Another solution, which I would actually see as most useful, would be if we (me and PI CO) would be able to mark a PI as "PI On Duty". The system would then pick the "PI On Duty" as contact person for the automated emails. What do you say? DaLe 07:35, 27 July 2007 (EDT)
I can do it so that you choose the PI "on duty" for any new members, or I can have the system automatically assign new members to the PI with the fewest cadets. It's really up to you. :) Licah 20:31, 31 July 2007 (EDT)
Nice. Hmm, I think I'll prefer to be able to pick the PIoD manually, but I would actually have one more request with this. Would it be possible to add a "timetable" to the PIoD adminstration, so that I could specify who is going to be PIoD in which periods for like 2 weeks in advance? (eg. PI Bob would be PIoD from 1st 01:00 am EST to 3rd 03:00 am, PI Ted from 3rd 03:01 am to ..., etc.) The main idea behind this is that once there will be more PIs I want the PICO to make a PI availability schedule in advance to ensure that a PI (=PIoD) will get in touch with a new member within 1 - 2 hours (if it is not early morning) instead of 12+ hours. Wow. :P Yes, they can be "on duty" at any given time. I can make it mesh with their schedules, too, if necessary.. if new member joins from 5pm EST until 1am on a weekday, then PI#2 will get them... if they join 1am EST until 11am on a weekend, PI#3 from the UK will get them.. etc :P That almost seems like more trouble than it's worth, though--you'd be asking a lot of your instructors. Well, it won't be mandatory for any PI to reply within one hour. My idea was mainly from a "coordinate the PIs" and a "provide good service" viewpoint. When the PICO will know that PI#2 is online Friday and Saturday, he can put him as PIoD for these days in advance and basically won't have to worry about it. Any new member joining these days will get contacted rather sooner than later. The PICO would have an easier job with coordination when he can work with an in-system timetable. I want to keep administration (aka time consuming) issues as low as possible while at the same time aiming for a good provided service. The Primary Instructors will play an important role for the RSA and mainly for the RS. I want to make sure that they will be aware of their position (in order to understand the importance of it) and that they receive the proper credits for their work and dedication. If a PI will understand the role of a PI, s/he will agree that new members should get contacted ASAP. So, I'd still go with the timetable. :P DaLe 22:21, 31 July 2007 (EDT)
